Transit Insurance and Liability Policy

At Prime Move Logistics , we are committed to providing safe, secure, and professional vehicle transportation services across India. To enhance customer protection during transit, Transit Insurance can be arranged upon the customer's request through an authorized Insurance Company.

​

1. Transit Insurance Coverage

- Transit insurance is mandatory and available upon customer request.
- Insurance is issued by an authorized Third-Party Insurance Company.
- The customer will receive the Insurance Policy Number and related policy details after the policy is issued.

​

2. Insurance Premium

- The Insurance Premium is calculated on the vehicle's Insured Declared Value (IDV).
- Premium may range from 0.5% to 5% of the vehicle's IDV, depending on the insurer's underwriting guidelines, vehicle type, route, and risk assessment.
- The applicable premium must be paid before dispatch of the vehicle.

3. Claim Procedure

In the event of an accident or any insured transit risk resulting in damage to the vehicle, the claim shall be processed exclusively by the respective Insurance Company in accordance with its policy terms, conditions, exclusions, survey process, and applicable regulations.

4. Role of Prime Move Logistics

Prime Move Logistics acts solely as a transportation service provider and, where requested, facilitates the arrangement of Transit Insurance through a Third-Party Insurance Company.

Our responsibility is limited to:

- Facilitating the issuance of the Transit Insurance Policy.
- Providing the Policy Number and insurance-related documents issued by the insurer.
- Assisting with basic coordination, wherever reasonably possible.

5. Limitation of Liability

Prime Move Logistics shall not be responsible or liable for:

- Approval or rejection of any insurance claim.
- Claim settlement amount.
- Delay in claim processing.
- Survey findings or assessment made by the Insurance Company.
- Any compensation payable under the insurance policy.

All insurance-related rights, obligations, and claim settlements shall remain solely between the Customer and the respective Insurance Company.

6. Customer Acknowledgement

By opting for Transit Insurance, the customer acknowledges and agrees that:

- The insurance policy is issued by a Third-Party Insurance Company.
- Claim settlement is governed solely by the insurer's terms and conditions.
- Absolute Transport Solution is not an insurer and assumes no financial or legal liability for any insurance claim or settlement.

7. Governing Terms

All transportation services are subject to the terms and conditions of Prime Move Logistics and the applicable policy terms issued by the Insurance Company.

BOOKING CANCELLATION & CANCELLATION CHARGES POLICY

1. Purpose of This Policy

This Cancellation Policy explains the terms, charges and procedures applicable when a customer cancels, withdraws, postpones or refuses a confirmed transportation booking.

The purpose of this policy is to ensure complete clarity for both the customer and Absolute Transport Solutions regarding cancellation charges, advance payments, actual expenses and refunds, if applicable.

2. Booking Confirmation

A booking will be considered officially confirmed only after:

- The customer has accepted the quotation or booking terms; and
- The required advance payment has been received; and
- Absolute Transport Solutions has issued booking confirmation through an authorised communication channel.

After confirmation, the company may begin making operational arrangements, including vehicle or truck allocation, manpower planning, pickup scheduling, packing and loading arrangements, route planning and other related preparations.

3. Cancellation by Customer After Confirmation

If the customer cancels, withdraws, postpones or refuses the confirmed transportation service after receiving official booking confirmation, the cancellation will be subject to the charges described in this policy.

Cancellation requests must be communicated to the company in writing through an authorised communication channel, such as email, WhatsApp or any other channel specified by the company.

The date and time on which the company receives the cancellation request will be considered the effective date and time of cancellation.

4. Cancellation Charge – 20% of Total Booking Value

If the customer cancels the booking after official confirmation:

A cancellation charge equal to 20% of the total agreed booking amount will be payable.

This charge will be calculated on the total booking value, regardless of the amount of advance payment already made by the customer.

​

5. Reimbursement of Actual Expenses

In addition to the 20% cancellation charge, the customer will be responsible for reimbursing any actual, reasonable and non-refundable expenses already incurred by the company specifically for the cancelled booking.

These expenses may include, but are not limited to:

- Truck, car carrier or other transport vehicle allocation or cancellation charges.
- Charges paid or payable for vehicle or truck arrangements.
- Driver, manpower, loading or unloading arrangements.
- Pickup, dispatch or route-related expenses.
- Packing, wrapping and other packing materials purchased or consumed.
- Labour, handling or warehouse charges.
- Transportation, toll, parking or other operational expenses actually incurred.
- Cancellation charges imposed by third-party transporters, vendors or service providers.
- Any other reasonable and documented expense incurred specifically for the customer's booking.

Where reasonably possible, the company may provide details or supporting documents for such expenses.

6. Advance Payment Adjustment and Refund

The advance or booking amount already paid by the customer will first be adjusted against:

1. The applicable cancellation charge; and
2. The actual expenses payable under this policy.

If the total amount payable is greater than the advance amount received, the customer must pay the remaining outstanding amount to the company.

If any amount remains after adjustment of all applicable charges, the balance amount, if refundable, will be processed according to the company's applicable refund terms and payment-processing timelines.

Any refund will generally be made through the original payment method, unless otherwise agreed in writing.

7. Example of Cancellation Calculation

For example, if the total confirmed booking amount is ₹20,000 and the customer cancels after confirmation:

- Cancellation charge: 20% of ₹20,000 = ₹4,000
- Plus: Actual reasonable expenses already incurred by the company, if any.
- The advance amount already paid will be adjusted against these charges.
- If the advance amount is insufficient, the customer must pay the remaining balance.
- If any amount remains after all applicable deductions, the refundable balance, if any, will be processed according to the company's refund terms.

8. Cancellation Before Confirmation

If the customer requests cancellation before the company has officially confirmed the booking, the 20% cancellation charge under this policy will generally not apply.

However, the customer may still be required to pay or bear any non-refundable third-party charges or actual expenses already incurred specifically for the customer's request, including vehicle arrangements, manpower, packing materials, labour, processing or other operational expenses.

Any refundable balance, if applicable, will be processed after deducting such expenses.

9. Cancellation at or After Pickup or Loading

Once the vehicle has reached the pickup location, manpower has been deployed, packing or loading has started, or the customer's vehicle or household goods have been handed over for transportation, cancellation may result in additional charges.

In such circumstances, the customer will be responsible for:

(a) the applicable cancellation charge;
(b) actual reasonable expenses incurred by the company; and
(c) any additional transportation, return, unloading, handling, manpower, storage or third-party charges arising due to the cancellation.

If the goods have already been loaded or handed over, the customer must also bear any reasonable costs required to return, unload, store or otherwise handle the goods.

​

10. Rescheduling or Postponement

A request to postpone or reschedule a confirmed booking may be treated as a cancellation of the original booking if it causes additional operational costs, vehicle unavailability or disruption to the company's arrangements.

Rescheduling will be subject to vehicle and manpower availability and may involve additional charges, including cancellation charges, rebooking charges and actual expenses already incurred.

Any rescheduling or waiver of charges will be valid only if confirmed in writing by an authorised representative of Absolute Transport Solutions.

11. No Verbal Waiver

Any waiver, reduction, adjustment or exception to this Cancellation Policy will be valid only if expressly approved in writing by an authorised representative of Absolute Transport Solutions.

Verbal discussions with drivers, helpers, pickup staff, agents or any other person will not by themselves constitute a waiver or cancellation of the company's charges.

12. Customer Acknowledgement

By making an advance payment and accepting the booking confirmation, the customer confirms that they have read, understood and accepted the applicable booking terms and this Cancellation Policy.

The customer acknowledges that cancellation after confirmation may result in:

- A cancellation charge equal to 20% of the total booking value;
- Reimbursement of actual, reasonable and non-refundable expenses; and
- Additional charges arising from cancellation at or after pickup, loading or deployment of manpower.

13. Company's Right to Recover Outstanding Amount

If the applicable cancellation charges and actual expenses exceed the advance amount already paid, the company reserves the right to request and recover the outstanding amount from the customer in accordance with the agreed booking terms and applicable law.

The cancellation will be considered fully settled only after all applicable amounts have been paid or otherwise resolved in writing.

14. Force Majeure and Exceptional Circumstances

If cancellation or non-performance occurs due to circumstances beyond the reasonable control of the customer or the company, including natural disasters, government restrictions, riots, strikes, road closures, major accidents, severe weather conditions, public emergencies or other force majeure events, the matter will be considered separately based on the circumstances.

In such cases, the company may review the booking, applicable charges, alternative arrangements and actual expenses incurred on a case-by-case basis.

15. Governing Terms

This Cancellation Policy forms part of the customer's booking and transportation agreement with Prime Move Logistics.

It must be read together with the quotation, booking confirmation, payment receipt and other applicable terms and conditions issued by the company.

If there is any conflict between this policy and a specific written term in the booking confirmation, the specific written term will apply only if it has been expressly approved by an authorised representative of the company.

Nothing in this policy will be interpreted as limiting any rights or remedies available to either party under applicable law.
